Position Summary

Under direct supervision, the Tradeshow Coordinator supports the daily tasks, as well as the large-scale projects, of Meetings, Events and Tradeshows Department. The Department executes 65+ domestic and international tradeshows per year, across all Teleflex business units. The Tradeshow Coordinator plays an integral role in each event, executing imperative tasks to achieve overall event success. This position is highly visible within the Teleflex organization and will maintain on-going working relationships with fellow planners, marketing communications, marketing, sales, executive leadership, other internal functions, and external vendors.

Principal Responsibilities

  1. Under supervision based upon experience, the Tradeshow Coordinator is responsible for, but not limited to, several tasks associated with approved tradeshows:
    • hotel room block requests and management thereof
    • sourcing of venues for ancillary events, such as customer dinners and Teleflex team events
    • attendee registrations (including payment and confirmations)
    • organizing and managing tradeshow supply inventory
    • ordering sample product and literature
    • packing and shipping tradeshow booth supplies
    • assisting with tradeshow lead capturing system and process, as needed
    • coordinating promotional items and attire needed for tradeshows
    • oversight of departmental event surveys
    • actively participating in the various weekly and/or bi-weekly event and tradeshow planning meetings, providing valuable insight and suggestions, including a post-meeting recap to all attendees.
    • providing on-site tradeshow management, as needed

 

  1. Spearhead additional projects as assigned with outcomes of improving departmental processes, enhancing department offerings, or facilitating cost containment measures.
  2. Read trade publications in order to keep abreast of tradeshow standards and trends. Be willing to attend necessary courses/classes/certifications as deemed necessary for the Meeting and Tradeshow department.
  3.  Adhere to and ensure the compliance of Teleflex’s Code of Ethics, all Company policies, rules, procedures and housekeeping standards.

Education / Experience Requirements

Associate's degree or equivalent experience. BA preferred.  Experience in planning events is preferred, but not required

Specialized Skills / Other Requirements

Advanced proficiency in Microsoft Office suite (Word, Excel, Teams, and PowerPoint) is required.

Excellent written and verbal communications skills as well as above average interpersonal abilities.

Must be very detail-oriented with excellent organizational skills, and must be able to multi-task, meet tight deadlines, and maintain composure under pressure in a fast-paced environment.

Experience in and/or willingness to learn the latest trends in AI technology.

Being a proactive and creative thinker, problem solver, team player, and self-motivated are essential qualities.

Quantitative and analytic skills are needed to follow budgets, as well as to understand contracts.

Ability to work with a wide variety of individuals with utmost professionalism and courtesy, from outside vendors to our executive leadership.
