Position Summary

The Sales Administrator is responsible for supporting the sales team in preparing documentation. For example, new product listing documents or other official documents. This position involves customer service in managing product delivery issues, liaise and work closely with the sales team on any related customer service concerns. This position works closely with our supply chain specialist to track, follow-up, and monitor items and inventory.

Principal Responsibilities

•    Responsible for organizing, tracking sales figures and support the sales team in preparing the sales document
•    Support in preparing documents such as but not limited to - Hospital Tender, Client’s quotation, payment invoice and others.
•    Support sales activities for sales order booking, order processing, work closely with Sales team and Customer Service team to process customer’s and distributor’s PO.
•    Monitoring pricing request, preparing guarantee letters and price discount approvals
•    Support sales activities for order processing, work closely with Sales team and Customer Service team to process customer’s and distributor’s PO.
•    Responsible for back-order management (tracking, coordination, allocation, follow-up until fulfilled)
•    Supporting the sales team with other administrative tasks, if requested.
•    Responsible for office administrative task such us but not limited to – Meeting room bookings, Payment/Concur reimbursement request, Delivery signatory, Accountability tracking for company assets, office concerns and procurement of supplies

Education / Experience Requirements

•    Diploma Holder
•    Minimum of 4-6 years’ experience of administrative work
•    Pharmaceutical, medical device or healthcare industry experience is a plus
•    Experience with management of consignment inventory is a plus

Specialized Skills / Other Requirements

•    Knowledge in MS excel (Reporting), Word and PowerPoint.
•    Must be tech-savvy and has a strong eye for detail to accurately maintain a database of customer information. One small inaccuracy could cause a product to be undeliverable and result in loss of revenue. 
•    Must have a strong communication skill, as they are the last line of defence when an irate customer calls, dissatisfied with the product. Should have the ability to navigate these situations directly affects the revenue of the Company.
