Position Summary

While the Administrative & Employee Engagement Specialist will maintain a steady day to day workload of administrative duties as detailed below, this position also plays a key role in accomplishing the overall site strategies via consistent and effective engagement with on-site workforce at our North American Distribution Center, located in Olive Branch, MS. The right candidate for this position must also possess the capability and desire to maintain a consistent communications and design effort to help shape our workplace culture and assist in keeping our workforce engaged and excited. This role will be challenged to provide consistent, thorough, well-designed communications through a host of outlets to keep our team members, our internal customers, and our external community well-informed. Principal Responsibilities

1.    Administrative Support:
o    Manage calendars (collectively, not individually), schedule meetings, and coordinate appointments for team members.
o    Complete weekly payroll reviews and approval/submission.
o    Prepare materials and other set-up/support elements for meetings, training and other key events; schedule and prepare meetings spaces in advance of planned events. 
o    Maintain confidentiality of sensitive information to include knowledge of leadership plans & actions, personnel information, and anything else that is deemed private and not released for general knowledge/awareness. 
o    Assist the operation with facilitating the ongoing execution of employee recognition programs.  
o    Analyze, track and trend data, compiling various monthly reports as required. 
o    Act as a contact for employee comments, concerns, questions, and provide information to the leadership team and other employees as needed. 
o    Ensure that all records and work instructions generated and used within the responsibilities of this position are compliant with quality and management systems. 
o    Other duties as assigned. 
2.    Employee Communications and Social Media Management:
o    Craft and distribute vibrant internal and external communications strategies that resonate with our diverse workforce and reinforce the values and objectives of the organization. 
o    Implement new, modern mechanisms to improve timely two-way communication between employees and site leadership to improve awareness at all levels. 
o    Curate lively content for our social media platforms, creating a buzz that reflects our dynamic workplace culture.
o    Keep an eye on social media trends and opportunities to connect with our hourly workforce in meaningful ways.
o    Participate in efforts to routinely measure employee opinions. 
3.    Content Creation and Editing:
o    Bring your creative flair to the table as you design eye-catching graphics and materials that are brand compliant and embody our company's values/strategy.
o    Design and maintain signage and other displays around the site to maintain a fresh yet consistent reinforcement of key messaging around vision, objectives, and progress.
o    Polish written materials to perfection, ensuring they're not only informative but also infused with personality.
o    Keep our content calendar fresh and exciting, delivering materials that inspire and motivate our team.
4.    Event Management:
o    Plan and execute events (meetings, trainings, luncheons, conferences, employee engagement activities, etc) that go beyond the ordinary, infusing creativity and fun into every aspect of the experience while always reinforcing the vision and values of the site/company. 
o    Serve as the point person for coordinating employee engagement activities with support from other designated
representatives across the site.
o    Support on-site and off-site meetings as required to include location scheduling/booking and snack & meal coordination. 
 

Education / Experience Requirements

•    Entry-level experience in administrative support, corporate communications, graphic design, or event management roles required. 
•    Bachelor’s degree in Communications, Graphic Design, Business Administration, or related field preferred. Equivalent experience will be considered, but this position is ideal for a recent graduate seeking to begin their career in employee communications and engagement.
•    Experience with social media and digital marketing, with an eye for trends and engagement is a plus.
•    Experience with event planning and coordination is a plus.
 

Specialized Skills / Other Requirements

•    High oral and written communication skills to effectively relate key concepts according to specific themes and strategies while also ensuring messages are simple, clear, and memorable. 
•    The ability to turn everyday tasks into creative opportunities.
•    A strong storyteller who enjoys infusing fun into all tasks. 
•    Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
•    Basic knowledge of design principles and software tools (e.g., Adobe Creative Suite, Canva, Microsoft Publisher).
•    The ability to juggle multiple tasks in a fast-paced environment while keeping the energy high and the fun flowing.
•    Detail and deadline-oriented with excellent organizational skills.
•    The ability to work independently with minimal supervision.
•    English speaking & writing proficiency is required; Spanish speaking and/or writing proficiency is a plus.
