Position Summary
This position provides general office and HR administrative support to staff and visitors of the Mansfield, MA facility. Sitting at the front desk, the administrative assistant will be responsible for managing reception, office purchasing and greeting/directing visitors and employees. This role will also be responsible for essential HR administrative duties while also providing support to other site functions as applicable.

Principal Responsibilities
- Manage and coordinate reception activities including; answering/routing incoming calls, sort/distribute mail, greeting/checking-in visitors, sending out plant-wide communications, stock coffee stations, inventory of coffee and office supplies
- Supporting site HR with coordination of recruitment and selection activities of temporary employees including coordinating with temp agencies on scheduling new hire start dates, interviews when applicable, and temporary employee communications
- Prepare new hire orientation packets for weekly new hire orientation
- Maintain phone listing, headcount, visitor NDA log, and visitor training log
- Manage and coordinate training activities such as; preparing training folders, scanning and preparing training reports, organize lunches and set-up conference rooms upon request
- Provide support during EPIC visits, audits and other on site visitors. Activities include; booking conference rooms and hotels, ordering lunch, purchasing meeting supplies
- Label and ship all necessary customer notifications
- Local travel as needed (post-office, office supplies, food pick up, etc.)
- Maintain a high level of confidentiality when handling sensitive information
- Other duties as assigned
Education / Experience Requirements
- HS Diploma or GED required
- Prior office experience required
- Prior HR experience preferred
Specialized Skills / Other Requirements
- Strong computer skills, including Microsoft Office
- Effective listening, verbal and written communication skills.
- Efficient time management and organizational skills
- Detail oriented
- Excellent interpersonal skills & positive, can-do attitude
- Ability to prioritize and adapt to shifting priorities
- Ability to maintain confidentiality
- Valid driver’s license & reliable transportation preferred
