Position Summary

The Senior Administrative Assistant for the Interventional Urology Business Unit (IUBU) partners with the Sales team and cross-functional teams to manage administrative work and project execution, including managing travel, meeting coordination, calendaring, variable compensation tracking, and various report preparations. 

Principal Responsibilities

•    Manage logistics for sales team, including preparing agendas, booking facilities, ordering  meals, and processing support equipment shipments.
•    Manage appointments and meetings, book travel arrangements.
•    Manage sales administrative tasks, including scheduling key activities and       events, create and organize files.
•    Manage spreadsheets of sales territories and regions, assist with quarterly business reviews (QBR).
•    Prepare documents, meeting agendas, meeting minutes, develops, and modifies new and existing PowerPoint presentations, and spreadsheets for approval.
•    Complete expense reports.
•    Assist with onboarding and offboarding tasks, and general office technology needs.
•    Works proactively and creatively in finding solutions and achieving goals in the face of unexpected challenges. Works with staff on functional projects and special reports.
•    Maintains organizational charts, phone lists and files.
•    Partners with other corporate administrative professionals in order to manage competing needs.
•    Perform other duties as assigned.

Education / Experience Requirements

•    Bachelor’s degree or equivalent practical experience.
•    At least 5 years of administrative experience in an office or clerical setting. 
•    Past experience with supporting a sales team is highly preferred. 
 

Specialized Skills / Other Requirements

•    Proficient with MS suite  - Word, Excel, Powerpoint, Outlook 
•    Medical device experience is a plus.
•    Strong work ethic, organizational skills, and ability to operate independently.
•    Outstanding customer service demeanor and skills, and the ability to collaborate with a broad range of stakeholders.
•    Ability to multitask and meet deadlines.
•    Valid driver’s license and good driving record.
•    Overnight travel will be required.
