Position Summary

The project coordinator will play an important role on Project Phoenix (SAP S4 Implementation).  The Project Coordinator will perform various project coordinating tasks such as schedule management, expense tracking, and task management.  In addition, the Project Coordinator will perform administrative duties such as workshop & meeting logistics, travel planning, and invoice/budget management.


Principal Responsibilities

  • Coordinate project management activities, resources, equipment, and information.
  • Track, monitor, review, and report on planned task status where appropriate.
  • Create and maintain project documentation, plans, and reports.
  • Work with Program Manager to eliminate project blockers.
  • Schedule meetings, record meeting minutes and manage action logs.
  • Use tools to monitor working hours, plans, and expenditures.
  • Oversee project procurement management.
  • Track expenses and forecast future costs.
  • Coordinate with legal teams on appropriate legal paperwork (SOWs, MSAs, etc.)
  • Act as the point of contact and communicate project status to team participants.
  • Plan meeting and workshop logistics such as agendas, scheduling, meal planning & setup.

Education / Experience Requirements

  • Proven work experience as a Project Coordinator, Project Administrator, or similar role
  • Experience in project management from conception through go-live
  • SAP experience a plus
  • PMP/PRINCE2 certification is a plus

Specialized Skills / Other Requirements

  • Strong organizational skills, including multi-tasking and time-management
  • Strong working knowledge of Microsoft Office Suite (Word, Excel, Powerpoint)
  • Strong working knowledge of project management tools such as Microsoft Project and/or Planview
  • Strong team work skills
  • Strong communication

Working Conditions / Physical Demands

  • Travel Required - 10-20%
  • Hybrid Working arrangements - minimum 3 days in office per week.
