Position Summary
The Coordinator, Clinical and Medical Affairs (CMA), EMEA, will report directly to the Director, Clinical Affairs, EMEA, and will support the Vascular and Emergency Medicine (VEM) CMA team. This role will manage the Health Care Professional (HCP) management system (for all Health Care Professional (HCP) and Health Care Organisations (HCO), Medical Education Grants and assist with CMA administrative duties across EMEA. The role supports the effective execution and maintenance of online educational platforms, team proficiency documents, data management, and facilitation of team meetings (i.e. scheduling, agendas and minute taking). The role will involve general supervision performing a variety of tasks and handles a wide range of situations involving clerical and administrative functions to support the department.
Principal Responsibilities
• Manages the HCP system which will include planning, submitting and following up on HCP interactions for education courses and consultancy for EMEA using the company’s online compliance system to ensure that the VEM business unit in EMEA have HCP interactions processed in adherence to Teleflex compliance policy in line with the Medtech Europe Code of Ethics.
• Facilitates HCP interactions and Medical Education Grants in line with Teleflex Compliance Policies, and event management as required per specific country need.
• Ensures cross collaberation for HCP interactions that are correctly submitted and approved and audited in line with Medtech Europe Code of Ethics.
• Maintains a close working relationship and collaboration with the compliance department, and, where appropriate, end-users and external stakeholders.
• Makes decisions to implement changes in order to improve HCP management system. This requires continuous communication with the Legal, Compliance and CMA department and the US team managing the system.
• Coordination and review of new information to be implemented in the HCP management system to include IPP adaptations, Fair Market Value (FMV) by regions, new mileage payment regulations, uploading of new template agreements
• Ensure, by providing training, that all departments involved in the HCP management system are up to date and proficient in the use of the system.
• Direct interaction via phone calls, email and online meetings with HCP/HCO to promote a user-friendly handling of the HCP management system
• Plan and support HCP interactions for Education and Consultancy events for EMEA (input the HCP interactions into HCP management system)
• Submit and assess Fair Market Value (FMV), allocate HCPs, Statement of Works and generate Master Service Agreements for HCP interactions in line with Teleflex HCP Compliance policies.
• Support CMA, Marketing & Commercial teams with planning and executing HCP interactions which are in line with Medtech Code of Ethical Compliance regulations
• Support invoicing of HCP engagements.
• Complete HCP vendor setup in SAP in accordance with the guidelines of Global Procurement.
• Access, and pull reports from, the Agile Product Lifecycle Management system as required.
• Facilitate event management in collaboration with local CMA.
• Support educational platforms and content formatting and organisation in line with the clinical strategy.
• Oversee the effective review and utilisation of training data and evaluations.
• Oversee team meeting organisation and minute taking.
• Perform other duties as assigned.

Specialized Skills / Requirements
• Exhibits strong written and verbal communication skills, as well as presentation skills.
• Fluent in English.
• Exhibits exceptional time-management and organisational skills.
• Established track record of building and maintaining relationships with internal and external contacts.
• Proficient in Microsoft Office Suite.
• The role will require occasional travel within region and trips abroad.
TRAVEL REQUIRED:
